Team accounts: invite recruiters and viewers

The person who created the employer or agency account is the owner. The owner can invite teammates from Team on the dashboard.

Roles

Role What they can do
Owner Everything: posts, payments and upgrades, agency verification, the team, the company page, officer search, analytics.
Recruiter Create and edit posts (but not pay for them), work with applicants and messages, write team notes, use officer search and send invites to apply, edit the company page, see analytics.
Viewer Read only: posts, applicants, team notes and analytics. Viewers can't change anything.

Every page checks the role on the server, so hiding a button is never the only protection.

Inviting someone

  1. Open Team and enter their work email and a role.
  2. We email them a private link. It works once and expires after 72 hours (we only keep a fingerprint of the link, not the link itself).
  3. They choose their name and password. Their login is separate from yours: never share passwords.

An email address that already has an account here can't be added (each login belongs to one organization). The number of seats (owner + members + pending invites) depends on your account type and is shown on the Team page.

Removing someone

Remove deletes their team login and logs them out everywhere immediately. Their team notes stay with your organization and show “former team member”. Changing a role applies on their next click.

Two-step login for the whole team

Two-step login is optional for each person. The owner can require it for everyone: anyone without it is sent to set it up before they can open any employer page, and existing password-only sessions must log in again. The owner must turn it on for their own login first.

Team notes and the activity log

Notes on an applicant are visible to your team only, never to the officer, and show who wrote them. A recruiter can delete their own notes; the owner can delete any note.

Team → Activity log shows who on your team did what (sign-ins, posts, applicant changes, invites, purchases). It doesn't show IP addresses. Our own security log keeps those for the period in our Privacy Policy.
